Overview

 

The Alasco Assistant helps you analyze your projects faster and retrieve key information directly from your data. In the background, AI works as an intelligent project assistant, providing precise analyses, reducing manual work steps, and helping you make well-founded decisions faster. The Assistant answers questions in natural language about projects, budgets, change orders, or invoices and helps you understand correlations more easily.

 

Opening the Assistant

The Alasco Assistant uses artificial intelligence (AI) to provide answers and insights based on the data stored in your Alasco account. You can open the Assistant at any time via the AI icon at the top of your screen.

The Alasco Assistant will then appear on the right-hand side of your screen.

After opening, the Assistant suggests you possible analyses depending on whether you are on the multi-project level or already within a specific project. On the multi-project level, suggestions are more general, such as:

  • Project with the highest budget deviation: Identifies the project with the largest deviation between the current forecast (Real Case) and the initial budget.
  • Contractor with the most change orders: Determines which contractor has the most change orders across all projects.
  • Discount loss analysis: Calculates lost cash discounts due to late payments across all projects and highlights potential savings.

If you open the Alasco Assistant within a project, you can define the area for which you want to retrieve information on the start screen. The following areas are available:

  • General
  • Budget
  • Contracts
  • Change Orders
  • Invoices
  • Cost Controlling

Once you select an area, the three most common queries from that area will be suggested. Choose one of these suggestions to start the query with a single click. You can also type your own questions in the input field at the bottom of the Assistant window. The Assistant will interpret your request and compile the relevant data for you.

 

Basic Functions

The following section summarizes the basic functions and controls available through the Assistant’s icons.

Quick Actions are not only available when opening the Assistant but can also be accessed at any time during an active chat via the “Quick Actions” menu above the chat window. Click the arrow above the chat window to open this menu. You can also use it to start queries for other projects or areas.

If you wish to start a new chat or reopen a previous chat, you can do so via the two icons in the top right corner, next to the close icon. Chat names are automatically generated based on their content but can also be renamed manually.

The Assistant’s answers include source references (e.g. links to the respective invoice or change order) for full transparency and easy traceability. Hover over the Sources button to see which data sources were used for the answer.

Hover over the Reasoning button next to it to see an explanation of how the Assistant arrived at its answer.

Answers can be copied to your clipboard and pasted into other media (e.g. reports or emails).

Tip:

You can rate answers as good (👍🏼) or bad (👎🏼). This helps our product team learn where the Assistant can still be improved.

If you prefer not to see the Assistant in the top navigation, you can disable it in your personal settings.

 

Example Use Case

For example, if you ask the Assistant “What is our total discount loss?” it will provide a precise answer. In this case, the discount loss in the project Neubau Corso Leopold is €8,535.25 (gross).

Hover over the “Reasoning” button to see an explanation of how the result was calculated. In this example, the Assistant indicates that invoices without discount application or with expired discount periods were included.

 

Usage Notes and Limitations

The Alasco Assistant is currently still in the beta phase. This means that the Assistant cannot yet answer questions about the following product areas:

  • Cash outflow
  • Revenues
  • Financing
  • Additional master data

Other limitations:

  • The AI Assistant currently cannot perform tasks (e.g. create contracts or modify budgets).
  • Charts or reports cannot yet be generated.
  • Files or screenshots cannot be uploaded as context.
  • Voice input (e.g. spoken commands) is not yet supported.

The displayed information is based on the data stored in your system and may contain occasional errors. Therefore, we recommend verifying results manually. Additional usage notes can be found in the Usage Notes section at the bottom of the Assistant window.

 

Data Protection & Security

  • The Alasco Assistant respects existing user permissions and only accesses information that the respective user is authorized to view.
  • No training use of customer data: The data is not used by Alasco or any third party for AI training purposes.
  • All requests and responses remain within the Alasco infrastructure and are processed in accordance with European data protection standards.
