Exporting project data
As an admin, you can independently export your project data from Alasco. This enables flexible and reliable data safeguarding, for example for internal backups or storage in document management systems such as SharePoint, OneDrive or Dropbox.
Where to find the data export feature
You can find the data export feature in the master data under the account data section.
Note:
Only users with the user type admin can create data exports.
How the export works
First, open the data export menu item in the master data section.
Use the drop-down menu to select the projects to be exported. You have several options for selection including either individual projects, project groups or active and/or inactive projects for export.
Once you have selected all the desired projects, click "Export" to start the export process.
You will receive a notification via email, as soon as the export is completed. You can download the export directly in Alasco.
Additionally, the data export menu provides an overview of all past exports in your account.
Scope of the export
For each selected project, you will receive the following structured data packages:
- all contract documents in one folder
- alle change order documents in one folder
- alle invoice documents in one folder
- all attachments in one folder
- an Excel spreadsheet each providing an overview of contracts, change orders and invoices
- an Excel spreadsheet of the cost controlling overview
Should you also use the revenues module, the export additionally includes the following data:
- all attachments for special requests, sales units, rent units, outright sales, each in a separate folder
- an Excel spreadsheet each for overviews of defects, special requests, payment plans, payment requests, sales units, income elements, rent units and outright sales
- an Excel spreadsheet for each cash inflow and cash flow
This provides you with all relevant documents as well as structured tables containing the most important project data.
Warning:
Data from the financing module is currently not included in the project export.
Note:
The duration the export may vary depending on the volume of data. For larger or multiple projects the export may take longer.
