Shifting & increasing the budget in the Contract Unit

In Alasco, the budget of a project is originally distributed through cost elements to the contract units. The respective budget of each contract unit defined at the beginning of a project can be increased, reduced, and/or shifted to other contract units.

 

Adjust a contract unit's budget

When you open Alasco, by default, you see all the projects in the dashboard in the so-called "multi-project view". Select the project via the project box or the drop-down menu in the upper left corner to adjust the budget.

Then click on the "Costs" menu item and submenu item "Contract Units". Select the contract unit that you want to edit.
In the financial overview of the contract unit on the right-hand side, you can increase/decrease the current budget of the contract unit with the + icon and make a transfer by clicking on the two arrows.

Scroll to the end of the overview in the contract unit until you see the "Budget shifts" field. Now select "Increase budget" or "Shift budget" to adjust the current budget of the contract unit.

Note:

The "current budget" differs from the "initial budget" in Alasco.
If the initial budget needs to be changed during the planning phase, you should make this change in the "Budget" submenu item under "Costs" until the preliminary budget for construction is finalized. This adjustment is automatically recorded in the budget history. Then distribute the initial budget to the contract units accordingly.

 

Increase budget (current budget)

The budget created under the "Budget" tab is the initial budget of the project in Alasco. If this budget needs to be increased after the start of the construction phase, you can use the "Increase budget" button in the contract unit. A reason for the increase must be entered.

Tip:

If you want to reduce the budget of a contract unit, enter a minus sign before the amount.

The difference between the initial budget (the budget of the planning phase) and the current budget can be seen in the cost controlling table.

 

Shift budget (current budget)

If all the contracts in a contract unit are completed and the finalized contract volume is less than the current budget for that contract unit, you have a so-called contract profit. You can shift the unused budget of that contract unit to other contract units, by using the "Shift budget" button.

Enter the amount to be shifted, the reason for the shift, and the contract unit you want to transfer the unused budget to. A balance sheet showing the amount before and after the shift in both contract units is automatically updated to help you confirm the budget shift.

Using a contingency contract unit's budget

In Alasco you have the option to create contingency contract units. To shift the budget from a contingency contract unit, select it and follow the steps above.

 

Overview of all budget changes

You can see an overview of all the budget changes by going to the "Budget" submenu item and the "Budget change" tab. The changes are tabulated, and the amounts, contract units, reasons, dates and users are shown in the table. You can therefore quickly see between which contract units the shifts have taken place and which budgets have been increased or reduced.
